What we collect

Why we use it, and our lawful basis

Responding to your enquiry
When you tick the consent box and submit a form, we use your details to reply and to discuss the work you are asking about. Our lawful basis is your consent, which you can withdraw at any time.
Managing a working relationship
If you go on to become a client, we use your contact details to deliver and administer the work. Our lawful basis is the performance of our contract with you.
Keeping our own records
We keep a record of enquiries and correspondence. Our lawful basis is our legitimate interest in running the business and keeping accurate records.

We do not use your information for automated decision-making or profiling, and we do not sell it to anyone.

Marketing

We will not add you to a marketing list simply because you submitted an enquiry. If we ever send marketing emails, we will ask you first and every message will include an unsubscribe link.

Who your information is shared with

We use a small number of service providers to run this website. They process data on our behalf and only for the purposes we set.

Spaceship
Hosts this website and supplies our email. Enquiry forms are processed on our own web server and delivered to our mailbox, so what you type is not passed to a separate form service. Like any web host, Spaceship records technical information such as your IP address and browser type in its server logs.
Google Fonts
Supplies the typefaces used on this site. Because the font files are requested from Google's servers, your IP address is visible to Google when a page loads.

We may also share information where we are legally required to do so. Some of these providers operate outside the United Kingdom; where that is the case, transfers are made under the safeguards permitted by UK data protection law.

How long we keep it

Enquiries that do not lead to work are kept for up to two years, so that we can pick up the conversation if you come back to us. Records relating to clients are kept for longer where we need them for tax, accounting or legal reasons. You can ask us to delete your information sooner at any time.

How it is protected

This website is served over an encrypted connection, and form submissions are sent over encrypted connections to our providers. Access to enquiry emails is limited to people at Malcolm Ltd who need to see them.

If we change how we handle personal information we will update this page and change the date at the top.

Before this site goes live This policy was drafted to match exactly what the website does today, but a few details still need to be confirmed by Malcolm Ltd: the registered company name and address, the company registration number, whether registration with the ICO is required, and whether the retention periods above match actual practice. It is sensible to have a solicitor review it before launch. Remove this note once that is done.
